Client Induction Process

Introduction

• The process is as follows, depending on the type of the source of introduction:
  • Enquiries: These are generally people from the public domain, who are invited and accept our invitation to become “Guest Clients”.
  • Guest Clients: These are usually introductions from existing sources who have conducted business with us since October 1984.
  • Fee Paying (immediately): These are people who are seeking to become fully paid clients immediately due to the urgency of their needs. 
  • However, they also receive all the benefits as if they were Guest Clients.

• The speed of induction is wholly dependant upon the response time taken by you.
• At all times, we will follow our Communication Technology Protocol 
  • All matters are generally dealt with via Web Forms by:
    • Telephone Answering Service (24/7/365) on 020 7099 0606.
    • Online Submission.
    • Telephone to a member of Avar Team on 020 7684 0606 (may attract an additional charge).
    • All telephone calls from or to Avar organisations are recorded.

All Types

• The following information is needed to begin the process:
• Basic Contact Details Form
• Emails are not a secure way of communication and are not GDPR complaint.
• Therefore we have adopted the following communication practice:
• All Business with clients, preferred partner & major suppliers:
  • Everyone must join Telegram
  • An invitation will be sent to you to join our communication platform “Telegram”.
  • This is a secure instant chat cloud based software.
  • IT assistance will be offered to help you join and setup Telegram.

• Everyone must do KYC and AML checks.
• The next stage depends upon the source of the enquiry.

Enquiry from Public Domain

• On the completion of the form above a telephone conversation will take place to determine the service level requirements.
• Further, it will be established as to whether we would be the appropriate firm for you to retain.
• Depending on the dialogue, you would be invited to become a “Guest Client” or a fee paying Client.

Guest Client

• We will need to carry out the legal and professional requirements and this is the link.
• We will need to have a face to face, audio-visual dialogue as part of the KYC.
• Please indicate your preference for this conversation.

Fee Paying Clients (immediate)

• The process for this is exactly the same as Guest Clients.
• All Free of Charge (FOC) services included as a Guest Client will also be offered to these types.

The Following will be Done

• We will collect and setup our Database for the following: 
  • Personal Information
  • Organisation Information
  • Update SharePoint 
  • Update Dynamics 
  • Update all Application and Cloud Software 
  • Provide Dropbox Assistance 
  • Professional Clearance 
  • Deal with all issues within the stated, agreed period
  • We strongly advise you to setup an additional security level, by using a PIN

Basis of Engagement 

• Full Client (Complete Document) 
• Generally, the extent of the engagement is agreed between us, together with all related commercial issues.
• No work is carried out until this is agreed so as to avoid acrimony in the future.
